End User System For Clean It services
Inventions and innovation have been experienced lately in various societies. This aspect has made it possible for most services to encourage service management. Statistics have shown that most people use same ideas in order to open business. What creates the difference is the uniqueness that a business or a company inputs. For example, there are many shoe companies in the world. However, some stand out than others. The reason being that they have something unique they do that attracts customers than other companies (Grönlund, 2010, P.67). Considering the above concept, Clean IT Services has made it a point to increase their service delivery using End User Computing system. The system gives the customer an opportunity of accessing certain information from the Clean IT services easily. For example, to know which dates are booked for services. In the end, the consumer will be flexible enough to know which other date is appropriate for him.
Due to competition in the business world, it is vital to initiate change. Clean IT Services, decided to implement End User Computing systems in their services for this purpose. As the name suggests, End User services are responsible for assisting the consumer in various ways. For example, the customer is usually in a position to access valid information relating to the service provider. Initially, there is a lot of manual work. This are due to errors and insecurity as man is not perfect in everything he does (End user computing, n.d., para 2). On the contrary, the uses of computers have made it easier for some duties to be done. The consumer can easily log in to the Clean IT services website and get information as desired. According to the organization, their main aim is to allow their clients access to flexible ways of accessing information without wasting time and finances.
When people do things manually, issues of corruption are usually experienced. This may be on both sides that is, the customer or the agency. It is possible for the staff working with Clean IT Services to rig of their clients extra cash. For example, some people may be referred to the agency but common clients. However, they may not be conversant with the nature of service they provide. Thereafter, when the staff is done with the cleaning orders, they may over charge the customer without the consent of the agency. These charges are used for personal consumption, as the agency will not be aware of the extra charge. Considering such a situation, it is clear that such behavior can lead to mistrust of the agency. In the end, those who are in need of services from Clean IT Services may decide to back off.
There are situations where the recipients of the services are entitled to participate in the clean program. The essence of this activity is to reduce the workload to the company. At the same time, it saves time and reduces expenses that may be incurred by both the client and the agency. The introduction of End User Computing system has been identified as an ideology that can include the client in making work easier. In the world of economics or commerce, an end user is the recipient or the person who uses a product in the end. Just as its name suggests, “End User”, the idea behind this strategy is to allow clients’ easy access to the website of the agency. For example, Clean IT Services have been one of the best cleaning agencies in the area where it is located. There are people who are fond of it and have directed their friends to try their services. Therefore, these people may wonder where to start. Some may be too busy to make trips to their offices (Clean IT Services). The idea of making calls may be expensive too and the only idea is to check their services online.
Through an online service, the end user may be in a position of checking how the service operates. This will be shown on the website, as there will be many alternatives given. For example, as stated initially, the agency has a constant rate on how they charge their clients. This is either per office space or per hour. In addition, the client may get all the information needed regarding the services offered and then weigh all available possibilities. The most interesting part of the End User Compatibility is that just it does not need someone who is a computer wizard to access the website. Just simple knowledge of computer usage is enough to make work easier. The client can be in a position to apply on the kind of service he wants. The application will involve receiving feedbacks by either email or calls from the agency to confirm their date of service. All invoices can be made online and transactions too can be done using banks.
The benefits of the EU installation to the user are that they can be assured of the kind of service they need. The system will give them all the required information and make advance inquiries of what they do not understand. The end user will be in a position to make appointments in advance to find out the most appropriate time the service can work for them (Journal of organizational and end user computing, 2004, p. 7). This can be identified in the system. There will be icons that indicate if a certain date is fully booked or replacement done to avoid inconveniencies. The clients will not have to worry about corrupt stuff members who may squeeze out some extra cash unknown to the agency for personal use. The clients, who are also regarded as the recipients to the service, will reduce time wastage of going to the company to make an appointment. All basic information will be available to the end user on the website of the Clean IT Services. Therefore, this idea will benefit both the company and the recipients and avoid many errors that may be made when things are done manually.
In order for the EU installation to be successful, the company should make adjustments in the Information Technology sector (Repenning & Ioannidou n.d., p.1). This means that, the computer specialist should make sure that the software used to design the system should be user friendly. The system should be easily accessible to anyone who wants to make an appointment. It should also be free from frauds. Swindles are so common online and it can easily affect the company. The reason behind this is that, a swindler can make an exact system that will work as the Clean IT Services. In addition, they will use that opportunity to swindle money from clients and in the end the Clean IT Service will b held responsible for the incidents. The agency can also lose the trust of the customers. That means that they will eventually reduce work and can even go bankrupt and close down.
The IT department should be very intelligent while they install the End User system. For example, they should be in a position of creating records of all calls and messaging for future reference. There are people who complain a lot and can sue the company for mistakes they never committed. The records of data can be evidence of their innocence and not charged for mistakes that they never committed (Burnett n.d., p.2). In addition, to ensure smooth running of the EU system, it should not be so complicated for the user.
The IT department can design the system in a complex way that it is hard to forge On the contrary; it should be easy to move around by the end user. This avoids boredom especially when the system takes long to load even when the internet fixation is excellent. Provision of an ID is important to allow verification. The kind of identification needed is not only a name but also a physical address and national ID or company registration number for easy identification by the company. Some people can come to complain using other people’s identity (Repenning & Ioannidou n.d., p.3). However, with this kind of ID verification a fake complainant will find it hard to make claims that do not exist
The challenge Clean IT services may face while attempting the EU installation may be on the side of the customer. The reason being not all customers are computer literate. This means that they will require a guide to make things easier for them. The guide will have to contain diagrams of how the spreadsheet will appear in each step of the application. It will not require a computer wizard to make the applications. However, the recipient must have the basics of computer that is how to connect to internet and knowledge in excel. Work will be easy and manageable for both sides.
Summary of Design requirements tasks Part 1
The MS EXCEL sheet containing the invoice for the Clean IT Services contains the automated process that enables the user to access the invoice as well as data. These sheets contain information about the customer information. It contains the customer name, the date, services done, amount charged, duration and customer ID. The excel sheet is automated to view customer information, save it as well as print. The system is user friendly and makes it easy for the user to access whatever details that they want.
The design contains the Design and Information buttons that enables the user to press and access the invoice and data information about the Clean IT services.
