Dear Sutcliffe,
Following the order I made on February 5, 2013, I received a shipment of mismatched modular office components. I contacted your company through the customer’s service hotline to make formal complains. This was with a promise to replace the faulty components on the relative condition of returning the components to the company’s warehouse. I requested for a replacement as agreed upon without a promise of covering for the shipping costs.
Such rare incidents are usually bound to occur with occasions, and I am not finding fault with the company’s excellent services; but since I the fault is on the company, I shall appreciate your quick response to letting me know if I am assured of the new shipment and cover for the return shipment cost. With reference to the above, enclosed are copies of my original order, shipping documents and serial numbers of the components.
Since I am within my rights to request for the cover of estimated $300 in shipping charges, I feel that the charges are unfair and unwarranted due to your company being at fault to the shipment irregularities. I am writing to ask you on behalf of the company to kindly arrange for the shipment payments and cover the estimated $300 in shipping charges.
I would appreciate your sincere and quick response regarding this issue. I look forward to a humbled resolution to the problem and a progressive relationship with the company. Please contact me at the address above.
