River View University

River View University provides accommodation in Halls of Residence for approximately half of its students. Students who choose not to live on campus, or who do not get assigned a place in Halls of Residence must find housing in the surrounding community. Currently, the housing office uses a cumbersome system of multiple binders to keep track of housing opportunities for students, faculty, and staff of the University. Housing listings are for university-owned housing, housing owned by private parties including landlords and individuals looking for roommates. The current system is difficult to maintain and keep up-to-date. The new Vice Chancellor has approved a request to fund the development of a system to provide easier access and maintenance of listings. You are the systems analyst assigned from the University IT department to conduct the initial investigation into the feasibility of such a system. The preliminary investigation reports resulted in approval for you to proceed with the systems analysis phase. Your task is to develop a set of data flow diagrams from the process requirements below.

1) Develop an Event DFD for each identifiable event

2) Combine the Event DFDs to create a single Level 0 DFD

3) Reduce the Level 0 DFD to create a Context DFD

Process requirements

Based on your information gathering to date, you have determined the following about a listing system for the housing office at River View University:

The current listing system revolves around multiple copies of three binders of housing listings. These are separate binders for undergraduate listings, graduate listings, and faculty/staff listings. Within each binder are copies of listings available to a particular group. New listings come in either from university housing staff from their own housing units, or from private landlords. All new listings are added to the housing listings binders.

When clients want to search the listings binders for suitable accommodation, they contact the housing office by phone, email or in person. Information is collected about the type of accommodation they are looking for e.g. individual room or private house, smoking or non-smoking, and these search parameters are used to access the listing binders to search for suitable accommodation. If suitable accommodation is found a description of the accommodation together with contact details is passed on to the client.

When the University rents a property, the listing is removed from all binders in which it appears. Information about which properties have been rented can come in from three sources, the university housing staff themselves, private landlords and clients. Private landlords are asked to call in when a property is rented to facilitate the removal of that listing from the binders. Clients using the binders who find housing listings that already have been rented are asked to report those so they can be removed.
