MOTIVATING EMPLOYEES AND ORGANIZATION COMMUNICATION
As a measure of giving back to the society, the organisation is going to carry out a fun run activity, which will also be a means of mobilisation of funds. The company has always been in the need to raise funds to give back to the society. This currently organised event is a charity run that will involve the staff members from different sections of the company, the total number of the participants from the company shall be 30 in number. The selection of the 30 members who will participate in the fun activity will be done in each department as every department will submit the names of 5 people to take place in the activity. These names will be pinned at the notice board in the administration centre.
The main intentions of carrying out the charity activity in the society are to motivate societal cohesion with the inclusion of volunteers and all the stake holders involved in the event. On the other hand, at the end of the event it will be necessary to evaluate the success of the charity event that had been carried out. The evaluation at the end of the event would be significant in the determination of the cost effectiveness of the event, the attendance of the event, the impact if the event, financial outcome, willingness of the volunteers, quality of the staff involved in the event action In order to carry out a successful charity activity, the organisation as well as the planning management has to understand that the major influential factor in the activity is participant’s motivation. The members who will take place in the fun run will be able win prises according to their performances in the run. The person who will finish in the first place among the employees will stand a chance of winning $1000 on the instance. The 1st runners up will stand a chance of winning $500 while the 2nd runners up will stand a chance of winning $300. From the participants there will also be interdepartmental evaluations where the department with the most number of best performing participants will be able to carry the name of the day with a mark of a trophy.
Running has always been the most preferred due to its universal nature and everyone in any sport is able to participate in the event. Various people will desire to participate in the charity run for various motives such as social interaction, exhibition, and the desire to enjoy friendly competitive activities. The events can motivate one to achieve a feeling of self-satisfaction as well as that deep personal fulfilment of having to help raise funds in the charity activity. That is why the organisation fun management committee set on running as the fun activity of the day. After considering that no member of the staff is handicapped enough not to take part in the running activity, the organising committee decided on the activity for the day, otherwise those who will be taking part in the activity are at liberty to make alterations according to their wish in an attempt to make the event more graceful.
Irrespective of ones sense of psychological participation in the charity activity, a strong feeling of involvement is encouraged to the members who are going to take part in the activity. The respective departments need to encourage their members of to take part the charity in activity. The employees who take part in the charity events are not always driven by the funds that are to be collected for the charity but rather by the course of the activity. An employee’s recognition in the organisation is a very important factor in the employee participation in the charity events. Acknowledging an employee for the good activities and recommending on the needed improvement is enough motivation to enable one to take part in the extra activities in the organisation. Giving credit where it’s due while using the right language is also very important in the motivation of an employee, avoiding foul languages will be the order of the day. It is important to focus on the key measures that will individually recognise the staff members.
Insisting on the right behaviour while maintaining professionalism is also important while maintaining a good employee and employer relationship and other aspects of relationship work related areas such as customer relations, production. Initiating a system that will be able to recommend the employees who will take part in the charity activity will be important in motivating the participation of the charity event to make it a success.
The final list of the participants will be made available at the administration bulletin board. The members who will then be taking part in the fun activity will then be getting daily communications through their email addresses. On the previous day to the activity all the members taking part in the activity will get phone calls to be informed of the venue where there will be a meeting. The meeting will be comprised of a projected presentation of the expectations of the activity and all the necessary requirements. The committee will ensure that communication that will be carried out among the employees will be very effective so as to avoid miss information to the targeted activity. It can be concluded that lack of effective communication to the employees can attribute to great consequences such as employee greatest dissatisfaction and also the major cause of an employee premature departure. The best way that this activity will be communicated will be by dialoguing while proving a listening to the staff opinions and giving out every update when necessary. The communication strategies will be through group dialogues as well as individual interactions and the major participation will be by daily meetings for the activity discussion. This will facilitate easy communication from the members who will be taking part in the activity. This activity will only involve 30 people from the organisation and as such it will not be a large group to maintain and organise.
The group of staff who will be taking part in the activity will be engaged in the decision making in a democratic manner through the daily meetings that will be held, this will be responsible for giving each and every one an authority to take part in the most appropriate way at the interest of the organisation. Everyone who has to take part in the event will participate in the decision making while taking their time to think and develop an appropriate plan that will be needed in the group discussion to make an effective development in the activity. The group will be encouraged to make criticism in the most honest and polite way to avoid demoralizing others. With such positive minded discussions will enable the staff develop the required motivations and skills as well as confidence that would enable them to independently be responsible to carry out the necessary activities without grudging attitudes?
As the leader of the charity run activity, it is advised that it is important to maintain integrity to the staff members like telling issues that are not true could would compromise the whole activity. It is also very important to develop trust among everyone who will be taking part in the activity. Respect among the staff members will be highly recommended so as to maintain harmony among the participants. Fairness will be encouraged in the group irrespective of the position or the person job position. And all these factors will be expected to be equal to all the members.
The committee would like to encourage the participants that it is good to work in an environment that is joyous to take in any activity. People can easily break down when the working environment is strictly business issues and a serious environment. Taking part in this charity run should be a fun venture for the employees and a break of the monotony in the work stations.
